Steps to create mailing labels from a database.

  1. Build the Name and Address database

  2. Start Word; select Tools/Letters+Mailings/Mail Merge

  3. Select Document Type of “Labels”; hit next

  4. Change document layout (orig was not a label)

    1. Click Label Options

    2. Set Printer

    3. Set Supplier (example – Avery)

    4. Set Label Style Number (example – 8160)

  5. Click Next: Select Recipients

  6. Connect to the Name and Address database (existing list)

  7. Select the records that you want labels for (example – All)

  8. Add fields to the first label on the page

  9. Replicate Labels to all labels on the page “Update All labels”

  10. Preview and Print either to “printer” or “edit individual labels”

  11. SAVE



Steps to Create one letter to go to many recipients.

  1. Build the Name and Address database.

  2. Start Word; select Tools/Letters+Mailings/Mail Merge

  3. Select Document Type of “Letters”; click Next

  4. Select Starting document (example – current)

  5. Connect to the Database file (existing list)

  6. choose the records to use

  7. Write the Letter in the main document

  8. Add fields for the unique data coming from the database

  9. Preview

  10. Complete the merge – to a printer, - or to a file of letters

  11. Save
